Keep a Suppression Record That Survives New Imports

A suppression record prevents inappropriate future selection. It should remain effective when a new file arrives or a contact is synchronised again. Deleting a row from one campaign file is not a complete exclusion process.

Define the exclusion and scope

Record the identifier needed to match the entry, the reason and the relevant programme or channel. Keep the effective time understandable. Different reasons may require different handling, so avoid using one unexplained inactive label for every case.

Apply the check at selection

Confirm where the authoritative exclusion is maintained and how connected systems consult it. Test a fresh import containing a previously excluded record. The import should not silently reinstate marketing status merely because the file labels the row as active.

Handle legitimate changes explicitly

Use the supported process and appropriate evidence if a person later changes a relevant choice. Preserve the order of events rather than replacing history with the newest file. A processing date is not necessarily a new contact instruction.

Retain only necessary information

Keep enough evidence to make the exclusion work and restrict access appropriately. Review retention with the applicable requirements and operating purpose. Reconcile suppression behaviour after a platform change instead of assuming an exported list contains every control from the previous system.
