How we check email data.

Our monthly verification process, its limitations, and the information to review before ordering from Latest Mailing Database.

B2B & consumer email Monthly verification Published methodology
About this pageThis page describes our stated process. It does not present an independent audit, a measured accuracy report or results from a specific verification run.

01 / Our process

Seven steps. Clear expectations.

We verify our email data each month. The stages below describe the checks and preparation steps used for our B2B and consumer email databases.

Monthly email verification stages and their purposes
StagePurpose
01Email syntaxCheck email address formatting.
02Domain & DNSCheck domain and DNS information.
03MX checksCheck mail-exchange information.
04Mailbox checksAssess mailbox responses, including outcomes that may be inconclusive.
05Duplicate removalRemove duplicate records.
06Suppression screeningScreen records against our suppression information.
07Delivery preparationPrepare the selected data after these checks.

Monthly verification is not continuous checking. Contact details and server responses can change between verification, delivery and use.

What verification can tell you.

Checks provide useful signals

They help assess email data at the time of checking. Syntax, DNS and MX results do not prove that a mailbox exists.

Results have limits

They do not guarantee inbox delivery, future validity, recipient interest or the accuracy of every contact field.

Catch-all configurations, temporary errors and server restrictions can produce inconclusive mailbox results. Verification also does not establish consent or permission for a particular marketing use.

02 / Before ordering

Confirm the fit before you decide.

Review the details for the database you intend to order.

  • Confirm the B2B or consumer audience, locations and included fields.
  • Review a demonstration file structure and available columns.
  • Ask about verification information for your selected database.
  • Confirm how inconclusive results are handled.
  • Review the delivery scope and applicable purchase terms.

03 / Reporting standards

Numbers need context.

A useful verification report identifies the run, explains its scope and defines its results. These are reporting standards, not measured results presented on this page.

Information needed to interpret a verification report
Report itemWhat to look for
Run identificationThe verification date, tools and relevant versions.
Coverage & selectionThe dataset covered, whether it was a full run or a sample, and how a sample was selected.
Outcome definitionsThe meaning of each result category, including uncertain outcomes.
Counts & denominatorsInput rows, duplicates, check outcomes, suppressed records and final retained records. Percentages should identify what they measure.
Review responsibilityWho prepared and reviewed the report.

Check outcomes may overlap. Do not add overlapping categories as though they represent separate records. Sample results describe the sample examined; broader conclusions require an appropriate selection method.

Privacy when sharing evidence: Use aggregate results and redacted examples. Keep names, email addresses, customer information, credentials and identifiable record-level logs private.
