Move an Email List Between Systems Without Losing Status
A list migration is a data and workflow change. It can affect status, automations and exclusions even when the addresses transfer correctly. Plan the move before importing the full file into a new sender.
Map meanings before columns
Compare field definitions in the source and destination. Separate original signup, import and update dates. Keep internal tags distinct from subscriber choices and identify values that cannot be represented directly.
Preserve exclusions and evidence
Export the records needed to maintain appropriate suppression and status history. Do not assume the main active-contact file contains every exclusion from the old system. An imported subscribed value must not silently replace a newer withdrawal.
Control automation during the move
Review triggers that may run on import or field changes. Use the supported test process and prevent unintended welcome or sales messages. Decide when each system owns sending so the transition does not produce duplicate campaigns.
Reconcile and accept the migration
Compare counts under clear units and inspect representative histories. Keep rejected and unresolved rows visible. Retain the source and recovery route until the new workflow has passed the agreed checks, including the next audience selection.
