Staff Contact List Template for Team Handovers

A staff contact list is most useful during a handover, when the usual person is unavailable and a colleague needs to route a question quickly. Build the directory around work responsibilities, approved contact channels, and backup roles.

Download our directory workbook and open Staff. It includes fields for department, work phone, extension, location, and backup role. Remove the demonstration row before entering staff details.

Design around the questions people need answered

Imagine a delivery arrives while the usual branch coordinator is on leave. The caller needs to identify the receiving team and its backup. A spreadsheet containing employee names and personal mobiles may not explain either responsibility.

List the work role alongside the employee’s display name. Where a team line handles routine requests, record that route rather than directing every question to one person.

Use a simple handover review

Before a handover What to confirm
Primary contact Which work channel handles the task?
Backup role Who covers the responsibility when unavailable?
Availability Are the published hours current and understood?
Directory owner Who receives corrections and approves updates?

A staff phone list should not include access passwords, alarm codes, or private emergency contacts. Those details require a separate process with appropriate access.

Keep employee phone numbers readable

Record the work phone and extension in separate fields. Include location when branches use similar department names. If a phone is shared between shifts, label it as a shared work channel so colleagues do not mistake it for an individual number.

The workbook’s designated phone and extension fields are prepared as text through row 51. Check the format when extending the sheet. Do not substitute a personal number because a work field is blank without following your organization’s approved process.

Review the list when responsibilities change

Update the directory when someone joins, changes duties, leaves, or hands a shared phone to another team. Confirm the backup role at the same time. A name correction alone will not fix an outdated escalation path.

Issue one maintained version and identify obsolete printed copies. When distributing an export, include only the fields that the receiving team needs. The workbook itself does not provide user-access controls.

Source the directory from your own staff administration

Latest Mailing Database’s external audience services are separate from an internal employee directory. Your organization’s approved records should determine who works for you and which contact details are shared with colleagues.

For broader directory design considerations, see DB TO DATA’s employee contact-list guide. Our Excel template instructions explain how to work with the downloadable file.

If your task instead concerns external sales audiences, review our business data selection page. Keep that research outside the internal handover list.
