Phone List File Formats: Prepare a Clear Import Brief

A phone list import brief tells a provider or colleague exactly how to prepare records for your system. Specify the audience, column meanings, number representation, and handling of uncertain values before requesting a file.

At Latest Mailing Database, we recommend discussing the destination workflow along with the audience. A readable telephone list for a desk and an import file for a dialer may need different layouts.

Choose the format for the receiving system

Format Useful feature What to check
XLSX Can retain text formatting, several sheets, and dropdowns. Which sheet and columns will the system read?
CSV Plain text records accepted by many import tools. Delimiter, encoding, quoting, and automatic type conversion.
Printed directory Readable reference for manual use. Issue date, number labels, and correction contact.

A filename extension does not confirm the underlying structure. Test the supplied file rather than assuming all CSV exports use the same delimiter or all Excel files put data on the first sheet.

Write a number-field specification

Ask for an original phone value, its country context, and a separate extension where relevant. If your system needs an international representation, state the requirement and agree how ambiguous national values will be handled.

Do not combine a label such as Reception with digits in a field that the dialer expects to contain only a phone value. Keep number type and department in separate columns. Use Unknown where the source cannot establish the type.

Plan what happens to incomplete records

A record with no country context may need manual review before conversion. A shared switchboard can be usable for routing even when no direct individual line is available. Decide these cases in advance so the import team does not guess.

Contact restrictions need their own handling. The technical ability to dial a number does not establish whether your intended call is permitted. Keep the approved calling selection separate from the full research file.

Run a round-trip test

  1. Choose a small approved sample with different field conditions.
  2. Import it with automated calling disabled.
  3. Compare the stored number, country, extension, and record ID with the originals.
  4. Export the test records if the system supports it.
  5. Investigate changes before approving the full import.

A changed display does not always mean the underlying value changed. Check both. Microsoft’s explanation of leading zeros and large numbers is useful when Excel is part of the process.

Use the brief to compare selections

Our phone-data selection page explains the audience details to discuss. DB TO DATA’s phone-list guide covers directory organization; the specification here focuses on transferring those fields accurately.

Use our worked phone-list examples to identify values that need clarification before loading a file.
