Free Contact List Template for Excel: Download and Use
Use our free contact list template for Excel to organize contacts, client follow-up, and staff work details. The downloadable XLSX workbook includes three sheets, filterable headings, and designated phone columns formatted as text.
Download the contact and client list templates. The workbook contains demonstration rows, not live leads. Delete the yellow example row on each sheet before adding your own information.
Choose the sheet that matches the task
| Sheet | Use it for | Key fields |
|---|---|---|
| Contacts | A working contact directory. | Contact ID, organization, contact channel, source, and use status. |
| Clients | Account ownership and follow-up. | Client ID, relationship, owner, contact role, and next action. |
| Staff | Approved internal work contacts. | Staff ID, department, work number, extension, and backup role. |
The sheets are independent starter tables. They do not synchronize automatically, send messages, validate addresses, or enforce access permissions. Choose one maintained location for the workbook so colleagues can find the current version.
Set up your contact list in Excel
- Save a working copy of the workbook.
- Open the Contacts sheet and delete the demonstration row.
- Assign a unique Contact ID to each entry.
- Enter names and organizations in their own columns.
- Paste original phone values into Phone raw, preserving their source formatting.
- Choose a category and document the source and review status.
The category dropdown offers a starting vocabulary. Adapt it if your operation needs different categories. A category such as Prospect describes the relationship; it does not approve that person for a campaign.
Protect phone values before pasting
Phone numbers are identifiers rather than quantities for calculation. Excel can remove initial zeros or convert digit strings when it treats them as numbers. Microsoft explains the behavior in its guide to keeping leading zeros and large numbers.
The template prepares the designated phone columns as text through row 51. Check formatting when you extend the table or create new columns. Formatting a damaged value afterward cannot recover digits that were already lost.
Prepare an export without exposing extra columns
Make an export copy containing only the records and fields needed by the receiving team. A CSV does not retain the workbook’s text formatting, dropdowns, or other sheets. Reimport a small test file through the destination’s import process and compare values before moving the full list.
For a separate explanation of spreadsheet setup choices, read DB TO DATA’s Excel contact-list guide. The downloadable workbook here gives you a starting file to put those choices into practice.
When you need additional audience records
Latest Mailing Database’s sample request page lets you discuss the structure of a prospective database order. That service is separate from this free organizational template. Review the audience, fields, and intended use before adding external data to your working list.
