Contact List Checklist: Check Your File Before Use

Before using a contact list, check whether its records match your audience, whether the essential fields are complete, and whether the source and intended use are understood. A file that opens correctly can still be the wrong list for the job.

At Latest Mailing Database, we recommend reviewing the selection brief alongside the file. Your brief describes who you need to reach; the file needs enough information to assess whether that selection was delivered.

Write an acceptance checklist before opening the file

Decide which conditions would make a record usable for your task. If your team serves only certain countries, country information is essential. If an account manager must identify the company, a bare email address is insufficient even when its format looks correct.

Question Evidence to inspect If unresolved
Does the record fit the audience? Supplied geography, organization, or role fields. Keep outside the selected audience.
Can staff identify the contact? Stable record reference and relevant identity details. Request clarification before merging.
Is the contact channel usable? Original value, check method, and result date. Investigate the specific field.
Is the planned use supported? Source information, applicable preferences, and review decision. Keep outside the approved export.

Count the units you actually received

Count rows, unique record IDs, and unique organizations separately when those measures matter. A file with several contacts at one company can legitimately contain more contact rows than businesses. A contact list of names may also repeat the same person across several locations.

In a hypothetical file of 100 rows, 10 rows might lack the country field your task requires. That means 90 rows have that field populated. It does not establish a 90% accuracy rate, because a populated value may still be wrong.

Investigate repeated values instead of deleting blindly

Compare organization and contact references when an email address or phone number appears twice. A shared billing inbox may serve several branches. Deleting a repeated row without understanding the relationship can remove a legitimate account contact.

Keep a short decision record for merges. Record which entry survived and which source details were retained. This makes a later correction possible without reconstructing the entire import.

Separate checks from outcomes

Address checks describe a technical observation at a particular time. They do not establish buyer interest, future delivery, or a sale. Our email verification methodology explains those distinctions for our published process.

Download the contact and client list workbook to record source and review information. Its demonstration row uses example data and should be removed before entering your own contacts.

Resolve unclear fields before approving the list

For background on directory fields and maintenance responsibilities, see DB TO DATA’s contact-list structure guide. This checklist adds the acceptance decisions to make before the records enter your workflow.

If you are assessing a new audience, request a demonstration of the file structure with your required fields. Approve the selection after the open questions are answered.
