Build an Opt-In Database with a Traceable Record

An opt-in database needs to preserve what happened, not just the email address entered. Design the record so an authorised colleague can understand its source, current status and relevant history without guessing.

Define the core fields

Keep an address, internal identifier, current status and source reference. Add preferences only when the programme uses them. Use a data dictionary to distinguish a missing value from a negative answer or a field that was never collected.

Preserve the evidence context

Record the collection point, relevant wording or version and the time of the action. Use an explicit timezone or standard timestamp representation. An import date and an original signup date describe different events and should not silently overwrite each other.

Carry changes through the workflow

Document how confirmation, preference changes and withdrawals reach connected systems. Keep the reason for important status changes. A fresh import must not erase a later exclusion simply because the imported row appears more complete.

Test a small record journey

Follow representative records from collection through storage, export and audience selection. Compare the values at each step and restrict access appropriately. Expand the collection process after the evidence and status survive the full route.
