Add a Contact to a Team Call List with Clear Authority
Adding a person to a team’s call list should be a documented business action. Establish why contact is appropriate and who owns the record. A shared spreadsheet should not become a way to bypass a person’s request or an organisation’s review process.
Record the task
Distinguish a requested follow-up, an existing service matter and a new marketing approach. Keep the source and relevant date with the number. A label such as prospect does not explain what the person asked for or which evidence supports the intended call.
Identify the authorised owner
Name the team responsible for the record and any approval needed before use. Make the purpose available to the caller. Avoid several teams approaching the same person without knowing that another conversation is already active.
Apply the relevant restrictions
Review applicable registry and internal exclusions through the approved process. Preserve corrections and preferences across imports. A newly delivered file should not reactivate an older suppressed record merely because it has a recent creation date.
Keep changes traceable
Provide a way to record a correction, reassignment or stop request and send it back to the maintained system. Test the workflow with authorised records. A contact-data delivery supplies fields; the business must still manage the purpose and handling of its actual calls.
