Email List Quality: Keep Subscriber Records Useful
A useful email list needs reliable records as well as new subscribers. Duplicate imports, unclear statuses and inconsistent field names make audience selection harder. Review the data that drives your next campaign before spending time adding more columns.
Set a small field standard
Keep a data dictionary for the fields you actually use: email, subscription status, source, signup time and relevant preferences. Define how unknown values are stored. An empty preference should remain unknown rather than becoming a guessed interest that changes the message someone receives.
Resolve duplicates carefully
Compare the records before merging. Retain the most recent valid status and the evidence behind it; an older subscribed row must not override a later withdrawal. Keep a record of the merge and confirm how your sending platform identifies contacts across separate audiences.
Separate technical checks from permission
Address-format and domain checks can catch some input problems. They do not establish marketing permission or prove that a particular person currently uses a mailbox. Maintain consent and suppression records independently, and check the platform rules for the intended sending workflow.
Create a maintenance routine
Review failed imports, missing source records and recurring delivery errors after each campaign. Assign someone to investigate changes rather than silently deleting unexplained rows. Export a small test selection before the full send and check that opted-out contacts remain excluded from every segment.
