Customer Meaning: Consumer, Client, or Prospect?

A customer buys from a business. A consumer uses a product or service. A client commonly receives professional or continuing services. A prospect is someone a business may seek to serve, rather than an established buyer.

The terms can overlap, so use them to describe a specific relationship. At Latest Mailing Database, we recommend distinguishing the audience you are researching from the relationship that audience has with your own business.

Apply the definitions to a business example

Imagine an employer buying training for its staff. The employer is the purchasing customer. The employees use the training. The training provider may call the employer a client because it delivers an ongoing service.

The individual purchasing coordinator is a contact person. That person is not necessarily the end user or the owner of the budget. Keeping those roles separate makes the account record easier to understand.

Use two classification fields instead of one

Field What it describes Example values
Audience type The kind of audience represented by the record. Business; consumer.
Relationship status Your documented relationship with that account or person. Prospect; active customer; former customer.

A business prospect and a business customer can share the same audience type while having different relationship statuses. A consumer email record does not become a customer record just because it is added to your CRM.

Decide when your own status changes

Write a rule for the event that creates a customer relationship in your system. It might be a completed purchase or an active service agreement. Use a definition that reflects the operation and can be checked against the underlying account records.

A requested quotation or downloaded guide may belong in an enquiry stage. Do not classify the person as a purchaser when no transaction supports that status.

Keep marketing preferences separate

Customer status describes a relationship. It does not explain every permitted communication channel or purpose. Keep the relevant preferences and review information in their own fields and processes.

A former customer may still need a response about an earlier order. An active customer may have declined optional promotions. A single category should not attempt to encode all those decisions.

Use the terms clearly when choosing a dataset

For company and professional-role research, explore our business email options. For individual-focused audience research, review our consumer email directory. Confirm the actual selection fields and intended use before ordering either type.

For another explanation of the terminology, read DB TO DATA’s customer, consumer, and client definitions. The classification example here shows how to apply the distinction inside your own records.

Use the same definitions in sales, support, and reporting. When a report says customers, colleagues should be able to identify the underlying relationship rule rather than guess whether the count includes potential buyers.
